Reports Overview
Esta página aún no está disponible en tu idioma.
The Reports area gives makerspace administrators insight into class registrations, revenue, membership growth, gift card performance, and instructor payouts. Reports are read-only views of data you already own — they never modify anything. (The one exception is the Mark paid / Waive family of actions on the Instructor Payouts report, which records a payout status and nothing else.)
Where to Find It
Section titled “Where to Find It”Sign in as an admin and navigate to Admin → Reports. The Reports hub lists every report available to you. Reports you don’t have permission to view are hidden.
Available Reports
Section titled “Available Reports”Class Registrations
Section titled “Class Registrations”A per-registration detail report for every class session in a date range.
Each row shows:
- Member name
- Class / series
- Session date
- Registration type — Paid or Comp
- Amount paid
- Comped by (the staff member who issued the comp, if applicable)
- Comp reason (if provided)
Filters available:
- Date range (required)
- Class / series (optional — leave blank for all)
- Registration type — All, Paid only, or Comp only
Class Sales
Section titled “Class Sales”Per-class aggregates for a date range.
Each row shows:
- Class
- Sessions in period
- Total registrations
- Paid registrations
- Comped registrations
- Gross revenue
Filters available:
- Date range (required)
- Sort column and direction (revenue, total registrations, paid, comped, sessions)
Membership Signups
Section titled “Membership Signups”Per-plan aggregates of new memberships started in a date range, broken out by billing cycle (monthly / annual) with an optional toggle to include admin grants, plus an Add-ons table of add-ons added, ended and held in the range. Defaults to self-service signups only.
See the Membership Signups Report for the full guide, including the Include admin grants toggle and CSV export details.
Membership Utilization
Section titled “Membership Utilization”For each membership plan with a visit limit: how many members it had, how many of their weeks or months (member-periods) ended in the dates you chose, the average and median visits per period, and the share of periods in which members reached the visit limit. Plans with unlimited visits are named but left out of the figures. Defaults to the last 90 days; a range can be at most 24 months. Filter it to one plan, see each plan’s current period so far, see pass plans’ passes as used up, ended with visits unused or still live, and export it all as CSV.
Available on the Foundational plan and above, to anyone with Manage Memberships. See the Membership Utilization Report for how periods are counted.
Gift Card Performance
Section titled “Gift Card Performance”Per-denomination and split analysis of gift card sales for a date range.
Each report shows:
- Gift cards issued (count and total value)
- Redeemed value and redemption rate (redeemed ÷ issued)
- Preset vs. custom split — how many buyers chose a preset denomination vs. a custom amount
- Breakdown by denomination — which preset amounts sell most
Filters available:
- Date range (required) — scopes by the date the card was issued
See the Gift Card Performance Report for full details, including the legacy-unknown row explanation and CSV export format.
Instructor Payouts
Section titled “Instructor Payouts”One row per class (cohort) with what its instructor is owed and how much of that has been settled. Built for reconciling instructor pay at month end. The session is the unit of payment — expand a class row to list the sessions that matched your filters and settle them one at a time.
Each row shows:
- Instructor (or No instructor when the class has none assigned; blank when the matched sessions had different instructors)
- Class (series title and cohort name), how many sessions matched, the dates they span, and the class status
- Payout amount — No rate set flags a $0.00 amount so it can be fixed on the session
- Payout state — Unpaid, Partially paid, or Paid, worked out from the sessions rather than stored on the class
Every session is Unpaid, Paid, or Waived. Waived means “settled, deliberately, at nothing” — a cancelled week nobody will be paid for — and is excluded from the owed total.
Filters available:
- Date range — a calendar with This month / Last month / Last 7, 30, 90 days shortcuts (defaults to the current month), with a basis: Session date (default) or Paid date
- Quick-filter — Unpaid (default, includes partially paid), Paid, or All
- Under ▼ Advanced filters: Instructor — narrows each class to that person’s sessions, substitutes included — and Class status — Completed (default), Scheduled, Cancelled, or All
- Active filters show as removable chips; Clear all resets everything except the date range
Four summary cards above the table cover the current filters: Owed, Paid, Waived, and the number of Classes. Only the current makerspace’s classes appear.
Holders of the Manage Instructor Payouts permission also get Mark paid / Unmark paid on a class row and Mark paid / Unmark paid / Waive / Un-waive on each session. See the Instructor Payouts Report for the full guide, including the date-basis toggle, settling at either grain, the per-session CSV columns, the cancellation default, and the dashboard card.
Collected Tax
Section titled “Collected Tax”Net-of-reversals collected tax grouped by filing period, jurisdiction, currency, and tax regime — built so the figures line up with how a sales-tax filing is organized. Each row carries the jurisdiction’s registration status, and amounts are kept separate per currency (never summed across currencies).
Filters available:
- From / To period (required) — the first and last filing months
- Period type — Monthly or Quarterly
- Country, state/province, and currency (all optional)
This report is a filing input, not a filed return — MakerVera never files or remits on your behalf. See the Collected Tax Report for the full guide, including net-of-reversals behavior, the quarterly view, and the CSV export format.
Exporting to CSV
Section titled “Exporting to CSV”Each report has an Export CSV button. CSVs use the same filters as the on-screen view and include every row that matches — not just the page you’re viewing.
The exported file is named like class-registrations-2026-04-01-2026-04-30.csv,
which makes it easy to drop multiple exports into a folder without overwriting.
CSV exports require the Run Reports permission. Viewing the on-screen report only requires View Reports, so view-only auditors can use the reports without being able to download.
If a download doesn’t complete — because of a network hiccup, a permission or plan change, or a server error — a message appears above the report telling you the export could not be downloaded. Click Export CSV again to retry; the message clears as soon as the next download starts. If it keeps failing, contact support.
Permissions
Section titled “Permissions”| Permission | Lets a user… |
|---|---|
View Reports (view_reports) | Open the Reports hub and view any report page |
Run Reports (run_reports) | Export any report to CSV |
A user can hold one without the other. The two permissions are managed in Admin → Roles & Designations like any other permission. See the Permissions Overview for assignment details.
The Membership Signups report is the exception: it gates on the Manage Memberships permission rather than View / Run Reports, because it sits on the membership-management surface. See Membership Signups Report → Permissions.
The Membership Utilization report uses Manage Memberships too, and adds a plan gate: it needs the Membership Usage Reports plan feature (Foundational and above). Without it, the page shows an upgrade prompt. Its CSV export needs the same two, not Run Reports. See Membership Utilization Report → Permissions.
The Instructor Payouts report adds one more permission on top of View /
Run Reports: Manage Instructor Payouts (manage_instructor_payouts)
controls the Mark paid / Unmark paid / Waive / Un-waive
actions at both class and session grain, and the per-makerspace cancellation
default. Without it the report is read-only. See
Instructor Payouts Report → Permissions.
The Collected Tax report adds a plan gate on top of the permission check: viewing it requires the Tax Reports plan feature, and its CSV export requires Tax Export — so a plan can include the on-screen report without the download. If your plan doesn’t include a tax capability, you’ll see an upgrade prompt rather than an error. See the Collected Tax Report → Permissions.
Comp Registrations in Reports
Section titled “Comp Registrations in Reports”Comp registrations — class registrations issued by staff without payment — appear in both reports. The Class Registrations report flags each row as Paid or Comp so you can audit who issued comps and why. The Class Sales report breaks the totals out into Paid Registrations vs Comped Registrations columns so comps don’t inflate revenue.
For how to issue a comp registration, see the Events Admin Guide.
Data Scope
Section titled “Data Scope”Every report is scoped to your makerspace automatically — you can never see another makerspace’s data, even if you have a Platform Admin role for that tenant. The scoping happens on the server, not in the UI.
Empty States
Section titled “Empty States”If a filter combination returns zero rows, the report shows an empty state with the filters you applied so you can adjust and retry. Date ranges that span a future window or land before your makerspace existed are the most common cause.
