Checking Members In
Esta página aún no está disponible en tu idioma.
When a member arrives, your front desk can check them in from the member’s profile. MakerVera records the visit, counts it against the member’s visit allowance, and shows staff what the check-in means for that member before they confirm.
Members can also check themselves in by scanning your makerspace’s check-in poster. See Self Check-In with a QR Poster.
Who Can Check Members In
Section titled “Who Can Check Members In”Checking members in needs the Check in members permission. By default it belongs to the Admin, Manager and Staff roles.
You can also give it to a designation, such as a “Front Desk” or “Volunteer” designation, so people who don’t hold a staff role can run the front desk. In role and designation management you’ll find it in the Users group.
Check a Member In
Section titled “Check a Member In”- Go to People → Users and open the member’s profile.
- The Check-in card at the top of the profile shows today’s status, for example Not checked in today or Checked in today at 9:14 AM · Door.
- Click Check in.
- Read the preview in the confirmation dialog, then click Check in to record the visit.
A confirmation message tells you the member is checked in, and the card updates to show the time of the visit.
What the Preview Tells You
Section titled “What the Preview Tells You”Before you confirm, the dialog shows what this check-in will mean for the member:
| Preview | What it means |
|---|---|
| Ready to check in | The member has visits left (or unlimited visits). The preview shows how many are left and when the allowance resets. For a one-time pass it shows the visits left on the pass (for example 8 visits left on this pass, or Unlimited visits) and Valid until its last valid day; see One-Time Passes. |
| No visits left — staff override | The member has used every visit in their allowance (for a pass: No visits left on this pass). You can still check them in: the visit is recorded and counts past the allowance (for example, 9 of 8 visits used). |
| No active membership — recorded as attendance | The member has no active membership. You can still check them in: the visit is recorded as attendance. |
| Already checked in today | The member already has a visit today, from staff, the door or self check-in. Confirming records nothing new. |
| This member’s account isn’t active | The account is pending, invited, suspended or inactive. Reactivate the account before checking them in. |
A member is checked in at most once per day. Checking in someone who already came through the door, or checking them in twice, never uses a second visit.
Undo a Mistaken Check-In
Section titled “Undo a Mistaken Check-In”If you checked in the wrong member, or checked someone in by accident, you can undo it the same day:
- Open the member’s profile. The Check-in card shows an Undo button next to today’s check-in.
- Click Undo, then Undo check-in to confirm.
The visit is removed and goes back to the member’s allowance.
Undo has a few limits:
- Today only. A check-in from an earlier day can’t be undone.
- Staff check-ins only. Visits recorded by the door system or by the member’s own self check-in can’t be undone from the profile.
- Every undo is recorded in your makerspace’s audit log, with who undid which check-in and when, alongside the original check-in.
Total Visits on the Profile
Section titled “Total Visits on the Profile”The member profile’s Total Visits tile counts the member’s recorded visits. If the count can’t be loaded for a moment, the tile shows — instead of a number. A dash never means zero visits: reload the profile to try again.
Troubleshooting
Section titled “Troubleshooting”I don’t see the Check-in card.
- Check that your role or one of your designations includes Check in members.
- Make sure you’re on the member’s profile under People → Users, not your own member profile.
The Undo button is missing.
- Undo only appears for today’s check-in.
- It only appears when the visit was recorded by staff. A door or self check-in can’t be undone.
The dialog says “This check-in was already undone or can’t be found.”
Another staff member probably undid it first. Close the dialog; the card shows the current status.
