Membership Add-ons

Esta página aún no está disponible en tu idioma.

An add-on is something a member adds to their membership: a locker, a monthly supply of clay, or extra access such as “Ceramics: 20 wheel hours a month”. You manage every add-on from one list, the Add-ons page, and choose which plans offer it.

You need the Manage Memberships permission (the Admin role by default) to open the Add-ons page. Without it the page isn’t available.

  1. Go to People → Memberships.
  2. Click Add-ons in the page header, next to Check-in code.

The list shows every add-on in your makerspace:

ColumnWhat it shows
Add-onIts name. Archived add-ons are listed last with an Archived badge.
PriceIts price and how often it renews, for example $15.00 per month.
Offered onEvery plan, or the names of the plans that offer it.
MembersHow many members have it on their membership right now.
PlacesWhole space, the places it covers (two names and “and N more” for long lists), or nothing when it covers no places.

On a phone, each add-on shows as a card with the same details. When you have no add-ons yet, the page offers Create add-on.

Click Create add-on, or Edit on an add-on’s row. The form has these parts:

FieldWhat it does
NameWhat members see. Up to 100 characters.
DescriptionOptional. What members get.
PriceThe add-on’s one price, for example 12.50. Every plan that offers it charges this price.
RenewsMonthly or Yearly. Usage limits reset each time the add-on renews. Members can only add it to a membership with the same billing interval: a Monthly add-on to a monthly membership, a Yearly one to an annual membership (see Monthly and yearly don’t mix).
TaxableTick Collect tax on this add-on to charge your makerspace’s tax rate, the same one plans use. If no tax rate is set up yet, the form warns you (see Tax Readiness).
Stock or capacityNone (as many as members want), Stock (each purchase uses one up, like a bag of clay) or Capacity (a fixed number to share, like 40 lockers; a place is held while a member has the add-on). Enter the count for stock or capacity.

You choose Stock or Capacity when you create the add-on; after that the choice is fixed and the form shows it read-only. You can still change the count.

ChoiceWho can add it
Every plan (default)Members on any plan, including plans you create later.
Only these plansOnly members on the plans you pick. Pick at least one.

A plan that already includes, gives or requires this add-on can’t also offer it as an optional purchase. If you pick one, MakerVera asks you to remove the add-on from that plan’s included items first.

What does this add-on cover?

ChoiceWhat members with the add-on can use
No places (default)Nothing extra. Use this for a locker, supplies, or anything that isn’t a place to book.
The whole spaceEvery workspace and piece of equipment, including ones you add later.
Only these placesOnly the workspaces and equipment you pick. A workspace includes all of its equipment. Equipment inside a workspace you’ve picked shows as Included with that workspace. Pick at least one place.

Equipment chosen on its own can be booked, but doesn’t open its workspace’s doors.

When the add-on covers places, Usage limits has a row for each place you picked, or one row for The whole space. Each row has:

  • Bookings — how many bookings per renewal.
  • Booked hours — how many whole hours of bookings per renewal.

Leave a field blank for no limit. A limit is a whole number of 1 or more, up to what fits in one renewal:

RenewsBookingsBooked hours
Monthly999744
Yearly11,9888,784

Add-ons don’t have a visits limit; visits come from the member’s plan.

Click Save add-on. If something needs fixing, the form says what, moves to the first field to fix and stays open with your changes.

The Members column tells you whether anyone has the add-on right now (members whose renewal payment is overdue count too). While someone does, a few rules protect them:

  • Places can only be added and limits only raised. You can add places, switch from chosen places to the whole space, raise a limit or remove it. You can’t remove a place, switch to No places, lower a limit, or add a limit where there was none. Switching to the whole space is allowed only when its limits are no lower than the ones the places had.
  • The renewal is fixed. Renews is read-only while members have the add-on, because changing it would move their limit periods.
  • Changes reach members at once. Added places and raised limits apply to every member who has the add-on as soon as you save.

When MakerVera refuses a change, it explains why, keeps the form open with your changes and saves nothing from that edit. To offer less, create a new add-on instead.

Every change to an add-on, including its places and the plans it’s offered on, is recorded in the audit log.

Click Archive on an add-on’s row and confirm. Archiving hides it from members: new members can’t add it. Members who have it keep it until they remove it or their membership ends, and it keeps giving them its places.

To bring it back, click Restore on the archived row. It’s offered again straight away.

  • At signup, the add-on step lists the add-ons offered on the plan the member picked that renew on the billing they chose (monthly or annual), each with the places it covers and its limits and its price per month or year, with tax when it’s taxable. Out-of-stock and full add-ons read Unavailable. Archived add-ons never show. Add-ons the plan includes or requires show as part of the plan instead.
  • On the bill, each add-on is its own line on the membership’s invoice, with its quantity and price, renewing with the membership. Cover processing fees and the estimated tax at checkout count the add-ons too.
  • Later, members add and remove add-ons from their Membership page, confirming first. An add charges the rest of the current period now and gives the add-on’s full limits at once; an add-on added mid-period stays on through the next full period. A removal takes effect at the end of what the member has paid for, with no refund or credit, and can be undone until then. When an add-on ends, the member’s reservations in places nothing else on their membership covers are cancelled and they’re emailed (see Adding or removing an add-on later).
  • When they change plans, add-ons the new plan doesn’t offer end: right away with the unused days credited on an upgrade, at the switch date on a downgrade. The plan-change dialog lists them before the member confirms (see Your add-ons when you change plans).
  • Booking: when bookings are turned on for your makerspace, a member with an add-on can book its places as if their plan covered them (see Booking Equipment & Workspaces).
  • Your access on the member’s Membership page names the add-on as what gives them a place, for example From Ceramics access, next to the plan when both do. These lines show only when different places come from different parts of the membership, for example the plan gives some places and the add-on others. When the plan and the add-on both give every place, the lines are left out. Staff see the same on the member’s profile.

An add-on’s places count only while the member’s membership is current. When the membership ends, so does the access the add-on gave.

You can add or remove add-ons for a member yourself, for example at the front desk. You need the Manage Memberships permission.

  1. Go to People → Users and click on the member.
  2. In the Membership section of the profile, click Manage Membership.
  3. The Add-ons section lists the member’s add-ons and the ones their plan offers, with the same places, limits and prices the member sees. Use Add or Remove on a row.

This section shows for a membership that bills through your payment provider and is active or past due.

The confirmation shows the amount from your payment provider before anything is charged: what is charged now to the member’s card on file and the dates it covers, the add-on’s price from the next renewal, and what the membership will then cost. Click Add add-on to charge it. If the card is declined, nothing is added. If the member already paid for this add-on, or the plan includes it, nothing is charged now.

Add is disabled, with the reason, when:

  • the membership’s last payment didn’t go through, or the membership hasn’t started yet;
  • the add-on bills on the other interval (monthly or yearly) than the membership;
  • a scheduled downgrade moves the member to a plan that doesn’t offer it.

Choose when it ends:

ChoiceWhat happens
At the end of the period (default)It stays on until the end of the period the member has paid for, then ends. Nothing is credited. If the member added it this period, the next renewal still bills it once (its minimum term).
NowIt ends today, and so do its places and limits. The unused days are credited on the member’s next invoice; the confirmation names the credit and the next invoice total.

Click Remove add-on to confirm. Required add-ons and welcome gifts have no Remove. An add-on that is already ending shows Ends with its date and no action; only the member can undo their own removal. An add-on ending with the member’s scheduled plan change says Ends with their scheduled plan change.

The member is emailed the add-on, the change and any amount charged or credited. Every add and removal you make is recorded in the audit log with your name, the member, the add-on and the amount.

If the amount can’t be loaded, or it changed since you opened the confirmation (for example the membership renewed), the confirmation says so and shows the new amount before you can confirm. Nothing is charged until you do.

An add-on is billed on the member’s membership invoice, on the membership’s cycle. So MakerVera never puts a Yearly add-on on a monthly membership (it would charge the full yearly price every month), or a Monthly add-on on an annual one (it would charge the monthly price once a year):

  • At signup, the add-on step shows only add-ons that renew on the billing the member chose. If they switch between monthly and annual, add-ons they had ticked that no longer match are unticked.
  • Later, the add-ons a member can add from their Membership page are only those that match their membership’s billing.
  • Required purchases on a plan follow the same rule, and MakerVera checks it when you set the plan up: an add-on can be required only on a plan priced for its renewal alone. A Yearly add-on can be required on a plan with only an annual price, a Monthly one on a plan with only a monthly price. Making it required on any other plan, adding the other price to a plan that requires it, or changing a required add-on’s renewal is refused, so no billing option of a plan becomes impossible to join. Plans set up before this check keep working as they were.
  • Items included every cycle and welcome gifts are free, so their renewal doesn’t matter.

To offer the same thing on both cycles, create two add-ons, one Monthly and one Yearly, each with its own price.

When you archive a workspace, the confirmation lists Add-ons that lose this workspace, with how many members have each. Archiving removes the workspace and its equipment from those add-ons. Add-ons set to the whole space aren’t listed: they keep covering everything that’s left.

If an add-on would be left with no places at all, MakerVera won’t archive the workspace until you add another place to that add-on or set it to the whole space. See Archiving & Restoring Resources.

Add-ons you create on this page are sold only with a membership: they don’t appear in your store and can’t be bought on their own. Add-ons that existed before the Add-ons page stay in the store as they were. The product behind each add-on is still managed under Store → Products for anything this form doesn’t cover, such as how many one member can have.

“Members have this add-on, so places can only be added and limits only raised.” You removed a place or lowered a limit on an add-on members have. Put it back, or create a new add-on with the smaller access.

“Members have this add-on, so its billing interval can’t change.” Create a new add-on with the other renewal.

“The add-on Locker bills yearly, so it can’t be required on a plan priced for the other cycle.” A plan can only require an add-on that renews on every billing option the plan offers. Make the add-on optional instead (offer it on the plan from this page), or give the plan only the price that matches the add-on’s renewal. To require it on both, create one Monthly and one Yearly add-on and use a separate plan for each.

“A plan you chose already includes or requires this add-on.” Open that plan’s Included items, remove the add-on there, then pick the plan again.

A member can’t find an add-on at signup, or on their Membership page. It renews on the other billing interval. Members on monthly billing see only Monthly add-ons and members on annual billing only Yearly ones; create a second add-on with the other renewal if both should get it.

“This add-on bills on a different interval (monthly or yearly) from your membership.” The member picked an add-on, or a plan that requires one, that renews on the other billing interval. Nothing was charged. At signup they can choose the other billing option.

“One of the limits is higher than this add-on’s renewal allows.” Lower the limit to the maximum shown, or switch a new add-on to Yearly.

A member can’t book a place their add-on covers. Check that the add-on lists that place, that the member’s membership is current, and that they hold any authorization the workspace requires.

A member’s reservations were cancelled when an add-on ended. When an add-on a member removed reaches its end date, their reservations after that date in places nothing else on their membership covers are cancelled, and they’re emailed the list. Bookings in those places for dates after the end are refused, with the date their access ends. To keep the places, the member can Undo the removal on their Membership page before the end date, or add the add-on again afterwards.

A member can’t remove an add-on. Required add-ons and welcome gifts have no Remove button. An add-on the member already removed shows Ends with its date and an Undo button instead.

A member’s add-on ended when they changed plans. Their new plan doesn’t offer it. On an upgrade it ended right away and the unused days were credited in the plan change; on a downgrade it ends on the switch date. To let members keep it, offer the add-on on that plan too (Offered on). While the downgrade is scheduled, the member can keep their current plan to keep the add-on.
