Membership Utilization Report
Esta página aún no está disponible en tu idioma.
The Membership Utilization report shows how much of each plan’s visit allowance members actually use. For every plan with a visit limit it tells you how many visits a member makes in a typical week or month, and how often members use every visit they have. It’s the report to open when you want to know whether a plan is priced right, or whether members keep hitting the limit.
Where to Find It
Section titled “Where to Find It”Sign in as an admin and navigate to Admin → Reports → Membership Utilization. The card is visible to anyone who holds the Manage Memberships permission.
The report itself is part of the Foundational plan and above. On a plan that doesn’t include it, the page shows an upgrade prompt naming Membership Usage Reports instead of the report.
What the Report Shows
Section titled “What the Report Shows”Each row of the table is one membership plan with a visit limit:
- Plan — the membership plan name
- Resets — whether the plan’s visits reset Weekly or Monthly
- Visit limit — the number of visits per week or month the plan allows today
- Members — the people with a period of this plan in the dates you chose
- Member-periods — completed periods: one member’s week or month
- Average visits — visits per completed period, on average
- Median visits — the middle value: half the periods had fewer visits, half had more
- Reached the limit — the share of completed periods in which the member used every visit
Figures are shown in your language’s number format (for example 3.25 in
English, 3,25 in French).
If a plan has members but none of their periods has ended yet, its figures read No completed periods yet.
How Periods Are Counted
Section titled “How Periods Are Counted”Each member’s periods run from the day their membership started: a monthly plan resets on the same day each month, a weekly plan on the same weekday each week. So two members of the same plan rarely share a period.
- A period is counted when it starts in the dates you chose and has ended (in your makerspace’s timezone). The period a member is in today is never mixed into the figures.
- A period cut short by a cancellation or an expiry is left out of the figures, because the member didn’t have the whole period to use their visits. The member is still counted in Members.
- Reached the limit uses each plan’s current visit limit and reset period. If you change a plan’s limit, past periods are measured against the new limit. A member who moved to another plan has all their periods counted under the plan they’re on now.
- Visits come from your recorded visits (staff check-in, QR and door check-ins), once per member per day, and only count toward the membership the visit was used on, the same way Visits left on a membership is counted. See Usage Limits.
Plans With Unlimited Visits
Section titled “Plans With Unlimited Visits”Plans without a visit limit have nothing to measure, so they are left out of the table and named underneath it (“Not included (unlimited visits): …”). If every plan with members in your dates is unlimited, the page says so and suggests setting a visit limit on a plan.
Choosing Dates
Section titled “Choosing Dates”The Date control defaults to the last 90 days, long enough to contain completed monthly periods. Pick one of the shortcuts or any range on the calendar; Reset goes back to the last 90 days. The dates are kept in the page address, so you can bookmark or share a view.
A range can be at most 24 months long, and its start can’t be after its end. A longer or reversed range shows a message asking you to choose another range, and the report doesn’t load until you do.
Filtering by Plan
Section titled “Filtering by Plan”Open the filters with the Advanced filters button (the arrow next to the date) and choose a Plan to see only that plan’s figures, current period and passes. The list holds every plan, membership or pass, that had a member in the dates you chose. The plan is kept in the page address with the dates, so a shared link opens the same view. Remove the plan’s chip, or use Clear all, to go back to All plans; your dates stay as they are.
- If you choose a plan with unlimited visits, the page says so: it has no limit to measure, so it never has figures in this report.
- If the plan has nothing to show in the dates, the page says Nothing for this plan in these dates. Try a wider range, or go back to All plans.
- If you change the dates and the chosen plan had no members in the new ones, the filter goes back to All plans.
Current Period So Far
Section titled “Current Period So Far”Below the table, Current period so far shows the periods that are still running today, whatever dates you chose: for each plan with a visit limit, the members whose period hasn’t ended yet and their average visits so far. These periods are not included in the figures above, because they haven’t ended; the card says the date it was worked out on. If no membership with a visit limit is in a period today, the card says so.
Because it is about today, this card also shows when the dates you chose are in the past and had no memberships.
Passes
Section titled “Passes”If you sell one-time passes with a number of visits, the Passes card shows, for each pass plan, the passes that started in the dates you chose:
- Passes started — how many passes started in the dates (a pass that starts after today isn’t counted until its first day)
- Used up — passes whose visits were all used, including one used up today or kept open only for a booking already made
- Ended with visits unused — passes that ended (ran out of days, or were ended early) with visits left
- Still live — passes still valid today with visits left
Each pass is measured over its whole life against the visits that pass includes, even if you have since changed the plan’s number of visits. A pass plan with no visit limit has nothing to measure; it is named with the other unlimited plans. The card is hidden when no pass with visits started in the dates.
Exporting to CSV
Section titled “Exporting to CSV”Export CSV downloads the report for the dates and plan you’re viewing. The file has one row per membership plan, then one row per pass plan, with these columns:
- Plan, Type (
MembershiporPass) - Resets, Visit Limit, Members, Member-Periods, Average Visits, Median Visits, Reached Limit (%) — the completed figures
- Current Period Members, Current Period Average Visits So Far — the current period
- Passes Started, Passes Used Up, Passes Ended With Visits Unused, Passes Live — the pass figures
A column that doesn’t apply to a row is left blank. The numbers are the same as on the page. If the download fails, the page shows an error and you can try again.
Permissions
Section titled “Permissions”| What | Required |
|---|---|
| See the card and open the page | Manage Memberships (manage_memberships) |
| See the report on the page | The Membership Usage Reports plan feature (Foundational and above) |
Like Membership Signups, this report sits on the membership-management surface, so it uses Manage Memberships rather than View Reports.
Data Scope
Section titled “Data Scope”The data is scoped to your makerspace automatically on the server. The report and its CSV show totals per plan and never name a member.
Empty States
Section titled “Empty States”- No memberships in these dates — no membership had a visit period in the dates you chose. Try a wider range.
- Only unlimited plans in these dates — every plan with members in the dates has unlimited visits.
- This plan has unlimited visits / Nothing for this plan in these dates — see Filtering by Plan.

Section titled “Related”- Reports Overview — every report and its permissions
